Terms of Service

1. Subscription & Access License

We grant you a non-exclusive, non-transferable, revocable license to access and use RentFlow's features in accordance with your active subscription tier. This license is strictly for your internal business operations as a property owner or manager. You may not sublicense, resell, or redistribute access to the platform.

2. Permitted Use & Prohibited Acts

You may use RentFlow to manage your rental properties, tenants, billing, and associated documents. You must not:

• Use the platform for illegal purposes, including unlawful evictions or discriminatory rental practices.
• Attempt to access another organization's data or circumvent multi-tenant isolation controls.
• Introduce malware, run automated scraping bots, or conduct penetration testing without prior written consent.
• Share login credentials with individuals outside your organization.
• Upload files that infringe third-party intellectual property or contain harmful content.

3. Landlord Data Responsibility

You are solely responsible for the accuracy, completeness, and legality of all data you enter into RentFlow, including but not limited to:

• Utility rates, meter readings, and billing calculations.
• Rental amounts, advance payments, and security deposit terms.
• Tenant personal information collected and stored in accordance with RA 10173.
• Compliance with local tenancy laws, DOLE regulations, and applicable municipal ordinances.

RentFlow provides tools for property management and calculation. We do not provide legal, tax, or accounting advice. Consult qualified professionals for compliance with Philippine tenancy law (RA 9653 and related regulations).

4. Billing & Payment Terms

Subscriptions are billed in advance on a monthly or annual cycle as selected during sign-up. Fees are non-refundable except as required by applicable law. Trial periods, if offered, automatically convert to paid subscriptions at the end of the trial unless cancelled. We reserve the right to suspend or terminate access for accounts with overdue balances after reasonable notice.

5. Service Availability & SLA

We strive to maintain 99.5% uptime measured monthly, excluding scheduled maintenance windows (communicated at least 48 hours in advance) and force majeure events. Planned maintenance will be performed during off-peak hours. We maintain redundant database backups and monitor platform health continuously. In the event of data loss attributable solely to our infrastructure failure, we will restore from the most recent available backup without additional charge.

6. Intellectual Property

All platform software, UI designs, algorithms, and documentation are owned by or licensed to us. Your data (property records, tenant information, financial transactions) remains yours. We receive a limited license to process your data solely to provide the services described in these Terms.

7. Limitation of Liability

To the fullest extent permitted by Philippine law, our total aggregate liability for any claim arising out of or related to these Terms or the platform shall not exceed the total fees you paid in the three (3) months preceding the claim. We are not liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits or data.

8. Termination

You may cancel your subscription at any time through the platform's subscription settings. We may terminate or suspend your account immediately, without prior notice, for material breach of these Terms. Upon termination, your data is retained for 30 days to allow export, after which it will be permanently deleted in accordance with our data retention policy.

9. Governing Law & Dispute Resolution

These Terms are governed by the laws of the Republic of the Philippines. Any dispute arising from or relating to these Terms shall first be submitted to good-faith mediation. If mediation fails, disputes shall be resolved by the appropriate courts of the Philippines with jurisdiction over the matter.

10. Modifications to Terms

We may update these Terms periodically. When we do, we will update the "Last updated" date above and, for material changes, notify active subscribers via email or in-platform notification. Continued use of RentFlow after the effective date of revised Terms constitutes your acceptance. If you do not agree to the revised Terms, you must stop using the platform and cancel your subscription.
